How is AI used in a CRM or in customer service?

SANFELIU, a custom software consultancy in Barcelona, connects AI to the CRM and the support tool a company already uses—HubSpot, Salesforce, Zoho, Pipedrive, Zendesk, Freshdesk, or a shared inbox—so the team finds its work already prepared: each opportunity summarized with the next step, reply drafts based on the history and the company’s terms, each issue sorted and sent to the right person, and alerts about unanswered proposals or upcoming renewals. A person reviews and sends; the AI never talks to a customer on its own unless the company decides it should.

  • Common tools: HubSpot, Salesforce, Zoho CRM, Pipedrive, Zendesk, Freshdesk, Intercom, and shared Gmail or Outlook inboxes.
  • Requirement: API access to the tool, or at least to the email inbox.

Questions we get asked

How much does it cost to add AI to a CRM?

It depends on what it has to do, not on the hours. After the call, you see a prototype with your data and get a proposal with a fixed price per feature, which doesn’t change once accepted; for the whole business, the audit ends in a phased roadmap with a fixed price per phase. Will the AI reply to customers on its own?

Only if you decide it should. By default it drafts and sorts; a person reviews and sends. It can be fully automated for specific cases (receipt confirmations, frequently asked questions) once the team trusts it.

Does it work with HubSpot / Salesforce / Zendesk?

Yes, with any tool that has an API. It also works with a shared Gmail or Outlook inbox if you don’t have a CRM.

What happens to customer data?

It stays in your CRM. The AI accesses it with limited permissions and, for each task, sends only what that task needs, to providers under enterprise agreements that don’t train on your data.

Does it make sense for a small team?

It makes sense when there is volume: dozens of tickets or opportunities a day. With less, an existing tool is usually the better choice; we’ll tell you in the fit session.
